Gerber Ciano Kelly Brady, a multi-office, multi-state law firm, is seeking an entry legal assistant for an immediate full-time position. This position will support offices across the Firms entire footprint.

The candidate for this position should be someone who can provide insightful support to both attorneys and legal teams and provide high quality work. The individual should have the ability to exercise good judgment in a variety of situations, with strong and professional communication skills. They should be a team member focused, have an engaging personality, show initiative, be able to work independently, and maintain a realistic balance among multiple priorities.

In this position, the legal assistant will be tasked with a variety of progressing job duties to provide support including the following:

  • Supports team members with various administrative tasks, such as scanning, copying or printing of documents

  • Formatting, proofreading and editing all materials for extreme accuracy and clarity

  • Assists with entering information into databases when needed

  • Process expense reports

  • Process large client mailings

  • Typing of dictation

  • Assists with maintaining electronic files by scanning documents and saving them to the firm’s document management system

  • Saving of legal documents received from State and Federal Court e-filings to the firm document management system

  • Assist with scheduling meetings and depositions

  • Assist with creating, and sending, electronic links to clients, opposing counsel, firm vendors, etc.

  • Assist with preparing correspondence, pleadings, discovery, motions, etc.

  • Assist with electronic filing of legal documents in State and Federal Courts

  • Works independently and with a team when needed for ongoing projects

  • Following office workflow procedures to ensure maximum efficiency

  • Performs general administrative and/or clerical duties

Qualifications:

  • Proficient in MS Word, Excel, Outlook and PowerPoint and the ability to learn new programs and systems

  • Strong Keyboarding skills

  • Ability to multi-task, attention to detail, excellent communication and organizational

  • Prior clerical experience is preferred (law firm experience is a plus)

  • Technology savvy

  • Excellent communication and time management skills

  • Strong attention to detail and highly organized

  • Team member focused

  • Should be able to work under deadlines and have some flexibility in their work schedule to meet unforeseen demands

Salary is commensurate with experience and skill set. Position offers benefits, including health, life, short-term and long-term disability, as well as 401k, flexible work and paid time off.

For New York City Applicants: Salary range: $16.82 - $19.23/hr. ($35,000.00 - $40,000.00), plus may be eligible for an annual discretionary bonus. The anticipated salary range is for candidates who will work in New York City. The salary offered to a successful candidate will depend upon the individual’s skills, experience, qualifications, and other job-related factors permitted by law.
